The challenge
Many recurring inspections start out very simply: with a list, a spreadsheet or an agreement within the team. Someone checks the technical room once a week, inspects a system every month or checks certain areas of a building at regular intervals.
It becomes more difficult as soon as several people, locations or inspection points are involved. Then it is no longer enough to know that someone normally takes care of it. You need to be able to see when the last inspection took place and whether anything unusual was found.
Digital documentation turns an informal or organizational routine into a traceable process without making the inspection itself more complicated.
How it works
A QR code connects the physical location or object with its digital checkpoint. This means nobody on site has to search for the right list, file or form first.
Define what needs to be inspected and how often the inspection should be repeated.
The QR code leads directly to the relevant checkpoint. A smartphone is all that is needed to open the inspection where it actually takes place.
A rating, comment and, if required, photos are stored with the inspection. This makes it possible to see later who found what and when.
An everyday example
A technical room needs to be inspected once a week. A QR code is attached to its door. During the inspection round, an employee scans the code with a smartphone and is taken directly to the corresponding checkpoint.
There you can see when the last inspection took place. If everything is in order, the inspection can be completed immediately. If something unusual is found, it can be recorded with a comment and a photo.
On the next inspection round, it is therefore clear not only that the previous inspection took place. Its result is also retained and can be reviewed later.

Why document digitally?
The inspection round itself does not have to become more complicated. The difference is that information is no longer scattered across paper notes, individual files or only in the heads of the people involved.
Inspection intervals make it clear which checkpoints are due again.
